Job Title(Designation) SecretaryDepartment Directors Office Position reports to(mention the Designation) Director No. and Designation of reports to Jobholder Direct (Administratively): Indirect(Functionally):External Interface(Enlist the external agencies/authorities that you are required to deal with while discharging your duty) - External Consultants- Agencies- CustomersMinimum Qualification(i.e education, training etc.) Graduate in any discipline with formal secretarial qualification from a reputed institute.Knowledge of shorthand essential. Minimum Experience(in terms of years) 2-5 yrsSpecial Skills/Attributes (required for performing the job effectively) - High Degree of initiative, independent judgment.- High level of integrity and confidentiality.- Ability to prioritize and balance work load to meet deadlines.- High degree of computer literacy.- Excellent communication skills.- High result orientation.Key Responsibilities(List major responsibilities, that you have, to achieve the key objectives) - Managing the daily activities of Directors Office by providing informational support, both internal and external.- Follow up and coordination with various departments on important assignments as mandate by the Director.- Prepare Meeting briefs.- Ensure timely receipt of all required information from respective departments.- Handling correspondence, Travel arrangements ( both domestic and International ) - Provide rapid and proactive response to time sensitive issues and requests.
